1. Collect the details
Choose a guided workflow for a familiar request, or share an online form. A form linked to a template can turn mapped answers into a private draft.
- People completing a public form do not need a workspace account.
- Check the mapping and review the draft before sending.
- Collect only the information needed for the request.
2. Prepare the request
Fill in the names, dates, amounts and purpose. Check the document preview and attach receipts or supporting records while the document is still editable.
- Expense details are revised through a structured form.
- Receipts stay with the request and freeze when it is sent.
- Choose your connected cloud drive as the save destination.
3. Put the right decision first
Assign approvers and signers. Sequential routing follows the assigned order; parallel routing lets approvers act together. Approvals finish before signers can act.
- The personal Inbox shows actions currently ready for you.
- Approvers can approve, reject or request changes.
- A returned draft can be revised and submitted for another review.
4. Follow the result
The final PDF stays with its activity history. For an approved expense, Finance or an administrator can record the reimbursement after paying it through the organization’s normal process.
- Record the full approved expense amount, payment date and reference.
- The payment record does not alter the approved document.
- The app records a reimbursement; it does not transfer money.
5. Keep and find the record
Return to Documents for the request, supporting files and recorded decisions. The Inbox concentrates on work ready for you, while Documents also shows requests waiting on others.
- Download a completed PDF when you need a copy.
- Keep cloud access connected so file operations remain available.
- Check notification history for queued, sent and confirmed delivery states.
A couple of things to know
Where should I start?
Choose one familiar request, such as a leave request, expense claim or employee letter. Try it with sample details, check the preview and ask a colleague to review the process before using it with your team.
Does everyone completing a form need an account?
No. People can submit details through a public form link without a workspace account. Invite colleagues to your workspace when they need access to its documents and workflows.
Do I have to use every step?
No. You can prepare a document without collecting information through a form. Some documents need approval or acknowledgement; others only need to be issued. Choose the steps that fit the record.
Are form responses turned into documents automatically?
When a form is linked to a template, mapped answers create a private draft. Review the field mapping, details and document preview before requesting approval or signing.
Can I explore before using my own information?
Browse the public workflow and template examples first. Create a workspace when you are ready, then try a draft with sample details before sending anything.
