Office paperwork

Move office
paperwork online.

Start with something your team does every week. A leave request. A purchase order. An expense claim. Bring it online, check that it works, then choose the next one.

Start with sample details. Check your storage and team access before using live documents.

Choose the process that causes the most chasing

Look for a request that regularly arrives with missing details or needs several follow-ups. An online form gives everyone the same questions to answer.

Give each request a next step

Prepare the document with the supporting details, choose reviewers and follow the request in Documents. The Inbox shows only actions ready for the current person, including returned drafts and approved expenses awaiting reimbursement.

Bring in the records you still need

Scan the records you need, check they are readable and give the files useful names. Upload a PDF or Word document, or bring a file from a connected cloud service. Readable PDF text and Word text can be extracted; scanned-image OCR is not included.

Share the link, not another copy

Give people a link to submit their details. Keep the final document in the workspace so you do not need to print it just to have a copy on file.

Look at the difference in your own office

Count the pages you usually print for that process. After moving it online, compare the printing for similar requests. This gives you a practical measure based on your own work.

Be honest about the impact

Less printing is the goal. Digital services use resources too, and the wider environmental impact depends on how they are used. We do not report a verified number of trees saved or sell carbon offsets.

Choose where the files live

Connect Dropbox, Google Drive, OneDrive or Box and select the save destination. File bytes stay in the connected drive, while account information, encrypted workspace content and workflow records remain in the system database.

Pick one form your team uses this week.

Try it online with sample details before changing the way your team works.
